• Employment contract: Employment contracts (one contract per course) are prepared in chronological order in Workday system from which the date is automatically transferred to the payroll system.
• When the contract is approved in the system it will be sent to you through Aalto electronic signing service. In the system you can accept and sign the contract. You can read more about Aalto sign service here. 
  
  Please note that Aalto IT IDs will be activated only after the contract is signed.
• Personal data: Personal data is required for processing the contract, salary payments and processing Aalto ID and access rights. New employees will be asked to fill in a personal data form. Employees who have previously worked for Aalto University can update their personal information in Workday system during their employment.
• Tax deduction card: Employer receives tax cards for employees who are resident taxpayers directly from the Tax Administration. Non-resident taxpayers must submit the tax card themselves to the payroll team, payroll@aalto.fi.  If you are working in Finland for the first time, apply for a tax card from the tax office. If you have not applied for your own tax card, 60% tax will be withheld from the compensation.
• Keys and access rights: An access token and a visitor identity card can be collected for example from Väre lobby services after your employment contract has been processed and you have activated your Aalto ID. The access rights can however be activated earliest from the beginning of your employment. When collecting the access token from the lobby services, please be prepared to prove your identity. Please keep the visitor identity card at display when moving around the campus. Information for registering the access token and requesting extended access rights can be found here. At the end of your employment please return the access token to the same lobby service you picked it from.
• Salary payment: Paydays in Aalto University are on the 15th and the last day of every month. For hourly-paid teachers the payday is usually the last day of each month, but the contract approval day may affect the payday of the first salary. The salary for hourly-paid teachers is divided into equal installments which are paid monthly for the duration of the employment contract.

• Absences: Please report the days of illness to both the teacher in charge and the HR Generalists (hr-arts@aalto.fi). A medical certificate is required for sick leave exceeding five days. Meet any other absences with the teacher in charge.
• Payslip: Payslips will be sent electronically for everyone with a Finnish bank account and by post for everyone with an international bank account. More information concerning the payslip and online pay can be found here. If you need a more specified payslip eg. for unemployment reasons, please contact payroll@aalto.fi or hr-arts@aalto.fi.

4. Code of Conductis a behavioural code that is based on Aalto's values in everyday work, creates a common operating culture and guides, for example, thinking about the right ways of doing things. An online course has been published to support the understanding of behaviour principles, which not only reveals the purpose and contents of the principles but also deepens the lessons learned with the practical case examples. The course is intended for all employees and duration is about 15 minutes.

1. Schedules and spaces: Teacher in charge arranges the timings and informs the study coordinator about the space needs during the curriculum design period. The period timing informed in the course description must be respected, the period information and the related changes are approved in the Academic Committee for Arts, Design and Architecture. Changes to the model timetables and weekly schedule can only be made according to the agreed principles, ask for further information from the teacher in charge / director of master programme or person in charge of the major / Learning services.

1. A course syllabus is prepared for each implemented course, and is published at least three weeks before the start of the course in MyCourses by teacher in charge.
2. Registration for the courses and the exams: Course registration starts typically 28 days before the start of the period and ends 7 days before the period. Registration for the exams starts 60 days before the exam, ends 7 days before the exam.
3. Taking care of accepting/rejecting course registrations in Sisu is the responsibility of the teacher in charge. Information about the accepted students will proceed to MyCourses, so make sure that you have access to MyCourses' pages of your course. Another option is to ask the list of approved participants from teacher in charge / Learning Services.
4. To see your course in MyCourses, you need to be added as a teacher to the course in Sisu. Teacher in charge takes care of this together with the Learning Services. 

1. List of participants: Especially on courses with a limited number of participants or a commitment to participate, it is very important to check who are present. Negotiate with the teacher in charge about the principles of operation if students who are not accepted to the course are trying to participate. 

2. Following attendance: It is recommended that the requirements for attendance and course completion is described as precisely as possible in the course description or syllabus. When the principles are clearly outlined, the teacher can rely on these if a student should prove their absence with a medical certificate or reject the course based on absences. Describing this information is the responsibility of the teacher in charge, and the hourly based teacher follows the attendance.

   It can be defined in the course description if the courses have an 80% attendance requirement, for example, or if a breach of attendance leads directly to the rejection of the course. You can describe in the course description or syllabus when the student is considered to have left the course and the performance has been rejected.

   If the presence requirement or percentage is not defined, the amount of student attendance should not affect the pass or grade. The course grade is determined by how the student has achieved the set learning outcomes.

   In principle, the teacher is not obliged to carry out additional tasks to compensate for absences. Students will find out the tasks they have done on the course during their absence (for example, from MyCourses or classmates). In the case of long sick leave, the teacher can ask a student to send their medical certificate to Learning services: confidential-arts@aalto.fi. Learning services will check the certificate and inform the relevant teacher. If the student's absence from sick leave is prolonged, the teacher must be consulted.
    

3. Communication for students during the course: Official communication takes place only through Aalto channels. During the course, use primarily MyCourses () for the communication. Use your Aalto email address when you work in Aalto. Teachers of the course should describe all the relevant information for the students to MyCourses, for example the deadlines of the most important course tasks and timetables of intercritics and excursions. Negotiate with the teacher in charge of the use of MyCourses and communications responsibilities.

6. Changes to a currently valid curriculum: There should not occur any changes after the course has started. If you have need for small adjustments, agree about them with the teacher in charge. Teacher in charge will contact the Learning services.

8. Practical issues: the teacher in charge helps with: storage of goods (temporarily), lending office, use of workshops, printing.
    

1. Informing grades: Teachers in charge takes care of grades and registers the grades in Sisu. Grades must be submitted within 4 weeks after the end of the course and must be registered promptly.

2. Course feedback: Teachers of the course will get automatically the course feedback. Course feedback system works according to the course's ending date information in Sisu. The teacher in charge is able to edit the ending date if needed. Reserve 15 minutes for the last lesson for students to respond to the course feedback questionnaire - that ensures a good response rate.

3. The possibility of retaking the exam / complete course assingment 
   Courses should have two possibilities for retaking the exam or inform two days when students can return completed course assignments. After this, students can be directed to complete the next course. You should also be aware of the instructions on the validity of the individual components of the course.

Studies have shown that learning is most effective when students actively produce and process information. Similarly, the most ineffective learning is the passive reception of knowledge and learning by rote. The recommendation is to make use of pedagogics that activates students, for example, lecture diaries, group work, studies, or tasks which combine theory and practice.
