MyCourses: Calendar

MyCourses has a calendar into which course events, such as lectures and exercises, are imported based on data from Sisu. You can add additional entries to the calendar. You can also synchronize the calendar with your own Outlook calendar.

  • Every user has their own MyCourses calendar.
  • The calendar shows events from the course workspaces of which the user is a member.
  • The calendar displays lecture and exercise schedules and room information imported from Sisu, schedules of MyCourses activities, as well as entries made by the teacher.
  • You can synchronize the calendar data with your own Outlook calendar.

Sisu-based events in the calendar

The lecture and exercise schedules and room information are brought automatically from Sisu into the course calendar. Sisu-based information (event title, date and time) is retrieved from Sisu every night. If you need to delete a calendar event that has been created automatically from Sisu, delete it only in Sisu. The event will be removed from MyCourses the following night. You can add information to the event description field. The information in the description field is not overwritten with data from Sisu. 

If there are events in Sisu that involve registration and schedule information, these scheduled events are shown only to those students who have registered for the specific events (for example lecture group 1 or exercise group 1). If the course has in Sisu an event that does not involve registration but does have scheduling information, this information is shown to all students on the course.

Note that adding attachments to calendar events is not recommended, because they cannot be imported into the course calendar for the following year. 

Event-based activities

The deadlines of the course area activities are automatically shown in the course calendar. The calendar shows assignment dates, the times of quiz activities and other course events.

Synchronising the calendar with Outlook 

The calendar can be synchronised with Aalto University’s Exchange calendar (Outlook Web Access) or other calendar systems that support the iCal format, such as Google Calendar. When the calendar is exported to another calendar system, only those events that are in the user’s personal calendar are exported. The best way to check which events will be exported is to open your own personal calendar (top right corner → your name → Calendar). If an event is not in your personal calendar, it will not be exported.

  1. Open your calendar under your own name in Calendar 
  2. At the bottom of the calendar, select Import or export calendars 
  3. Click the black ‘Export calendar’ button
  4. Select ‘All events’ and ‘Latest and next 60 days (max 200 events)’
  5. Click ‘Ger subscription URL’ 
  6. Go to https://outlook.office.com/mail and log in with your own username to open the calendar. 
  7. Click ‘Add calendar’.
  8. Select ‘Subscribe from web’, paste the subscription URL, give the calendar a name and choose a colour
  9. Click ‘Import’.

Why are the course lectures not visible in the teacher’s synchronised calendar?

Events imported from Sisu such as L01 (Sisu), H01 (Sisu) are group-specific events in MyCourses, which means they are visible only to those who belong to the respective group. Students enrol in groups in Sisu, but typically the teacher is not a member of the teaching groups. In the teacher role you can see all group-related events, but they are not in your personal calendar and therefore are not transferred via calendar synchronisation. If you want the events in your own personal calendar, add yourself to the necessary groups in the MyCourses participants list.
