Aalto Travel Computer briefly

The Aalto Travel Computer is a MacBook Air laptop equipped with a Virtual Desktop (VDI) connection. You can order an Aalto Travel Computer from the IT Service Desk for the duration of your trip.

The Aalto Travel Computer is only permitted for use via VDI environment during your trip and it requires continuous internet connectivity. Do not store Aalto data locally on the Aalto Travel Computer. In addition, the use of memory cards or external drives is not permitted during travel to certain selected countries.

Before ordering an Aalto Travel Computer, you need to have your business trip approved according É«É«À²â€™s instructions.

Please note that you cannot bring your personal Aalto workstation to a vacation or personal trip in any of the above-mentioned countries and Aalto Travel Computer is available for business trips only.

The process of Aalto Travel Computer

1. Do you need an Aalto Travel Computer​?

   Are you traveling on business to one of the countries listed above?
   In these countries Aalto Travel Computer is needed. You cannot take your normal Aalto workstation to any of these countries.

   If the Ministry of Foreign Affairs of Finland recommends avoiding non-essential travel or all travel to the destination county, Aalto-university requires making a risk assessment and obtaining permission from the dean / service director. If applicable to the destination of your planned business trip, the risk assessment must be made and the required permission must be obtained before you may proceed to the below steps for ordering Aalto Travel Computer. Please note that the requirement for prior risk assessment and approval from dean / service director does not apply for each and every country in the above list. Please check for latest information.

2. Order a travel computer​ at least three (3) weeks before your trip.
   Fill-in the form here​:

3. Collect the Aalto Travel Computer at least two (2) weeks before your trip to learn the basics​
   
   Visit the IT Service Desk at Otakaari 1​.

   Take your ID card with you.

b) Get to know how to use Virtual Desktop  ​

Aalto Virtual Desktop Infrastructure (VDI) allows you to use the most used Windows applications offered by the university anywhere and anytime. It is a remote desktop that allows you to use university computers from your own device. Note that you cannot install or get all the same applications that you can have on your own workstation. You should check the available applications by connecting to the VDI desktop before your journey.​

c) Make sure that your work content (such as slides, documents, etc.) is accessible during your journey, e.g. in OneDrive. ​

Please note that you are not permitted to transfer material from a memory card or external drive to the internal drive of the Aalto Travel Computer.

Remember to also consider data classification when choosing where to store files.

The Aalto Travel Computer should only be used for handling materials in a virtual desktop environment (VDI) at vdi.aalto.fi. In the VDI desktop environment, you can access network drives and materials stored on them via the File Explorer address bar or OneDrive files using the OneDrive software.

Save the materials you need for your work trip on your Aalto work computer to either a network drive or Aalto's OneDrive, and check the availability of materials on the Aalto travel laptop by logging into the VDI environment before your trip.
