Beta SPACE-gallery Reservation Booking System
Maximum two week period is recommended, any exhibition plans for longer durations should be emailed to curator Jonna Kotiranta jonna.kotiranta@aalto.fi
Exhibitors can submit a booking request directly on booking.aalto using the exhibition spaces and selecting Beta Space Otakaari 1 or using this direct link to the calendar:
Please remember to select 9:00-19:00 and check all weekdays between start and end dates when making your booking. Do not make one day reservations. If you are uncertain how this is done, contact curator Jonna Kotiranta (jonna.kotiranta@aalto.fi)

Overall guideline
Be mindful of other exhibitioners. After your exhibition remember to clean and return everything back to their places before another exhibition starts. Collect your artworks with you. When starting to build an exhibition you may only start it on your booked day. Do not take down other exhibitions works unless they are still in space when your exhibition starts and you can't contact the previous exhibitioner.
Exhibition cart; For exhibition you may use an exhibition cart that has tools and materials for hanging your art works. There are also wires, fishing lines and other for hanging from the rails. In the gallery you may also use Alvar Aalto design brass hooks. The exhibition cart is located in Otakaari 1 A-wings 1st floors lobby near the Lobby Services. Ask Lobby Service personnel to unlock the cart for you to use. The cart is only usable for BetaSPACE gallery exhibitions. Return cart after use for it to be locked.
Exhibitioners can borrow BetaSPACE-gallerys pedestals, ladders, tv-screens and exhibition cart when they have the booking of the space.
All borrowed furniture, pedestals, cart, materials and tools must be returned to the storage corner and organize neatly after use. Below is picture of the order.
Beta SPACE-gallery Code of conduct:
- The marble wall of the space must not be taped or attached to the work with nails, etc.. There are suspension bars on the ceiling to secure the work by hanging them in front of the marble wall.
- The marble pedestals in the room should not be moved and exhibitors do not have permission to move them. They are heavy and this action could result in injury and, or damage to the materials like floor. Keep the pedestals where they are!
- No taping on the gallery floor, e.g. extension cords or papers.
- No extension cords should be placed on the floor of the room to run across the floor. All cords should be installed to run from above / overhead. This is to minimize the risk of tripping.
- The wood panel wall of the space can be used to attach works if necessary. However, you can use small nails, small screws, and other small mounting needs such as rivets / pins / pins if you want to attach something to that wall. Taping is also alright. These small hanging accessories can be found in the exhibition cart.
- The center of the corridor must be left open, as it is the emergency exit. That is, the works must be placed next to the walls in such a way that there is a 2-meter-wide straight line in the corridor. So no works can obstruct people from moving.
- Do not use tape on the windows
Hanging and pedestals
- Exhibition cart with tools and similar accessories for building and dismantling exhibition can be used in Beta Space. This cart can be found in A-wing 1st floor. To get the cart, ask Lobby Services to unlock the cart. Return cart back after use, also after exhibition return all borrowed tools and materials back to cart.
- The brass hanging bars designed by Alvar Aalto in the Beta SPACE gallery are located next to the exhibition cart. These brass bars are used in the space by hanging them from the roof bar, the brass bars have clamps for hanging the work. These clamps can be found in the exhibition cart. To use the brass hanging bars, ask Lobby Services to open the lock.
- In BetaSPACE you may use its own pedestals. These black, white and natural timber pedestals are stored in the storage corner, near Lobby service in A-wing of Otakaari 1, Undergraduate Centre. All pedestals in Beta SPACE are included to the reservation of the space, so no need to reserve them separately.
Lighting
- Do not turn or twist the light fittings in the ceiling. These should not be touched or adjusted by exhibitors as they are not designed as adjustable spot lights. For questions around lighting please contact the curator or Lobby Services. For adjusting single lights there is a specific tool in the exhibition cart. If you want multiple lights to be turned off, Lobby Services can turn the lights off.
- The lights are old Alvar Aalto designs that are fragile, handle them with care.
A/V Equipment
- Beta SPACE-gallery has two (2) TV screens
- Electricity sockets are only president on the wood panelled wall, there are some extension cords to borrow for the exhibitions.
- Other A/V equipment should be borrowed from Marsio TakeOut
- The exhibitioner is responsible to turn on and off the A/V equipment in the space. One option is also to leave the art works on 24/7 (e.g. projectors, tv-screens, phones). You may ask help from Lobby Services, but this task is not part of their job description, meaning they are not responsible to watch over these. Sometimes a personnel might assist you if they have the time and want to.
Cleaning:
- Exhibitors and event organizers are responsible for cleaning the space during and after the exhibition or event. Return furniture back and make sure the space is arranged to the original state.
- The exhibition space must be cleaned after opening events as well, do not leave food or other behind.
- Exhibitors should return all furniture to their rightful places and return all borrowed accessories/equipment back to exhibition cart.
Insurance and release of liability
- The Beta Space Gallery has no responsibility for exhibition insurance coverage or for incidents of injury or theft occurring at the event. We recommend that exhibitors obtain insurance against loss or damage and indemnity insurance for their own goods, items, devices and furnishings if needed.
- The setting up of all artwork and other items for display at the Beta SPACE gallery, Otakaari 1 A-Wing occurs at the owner’s risk.
- Should building property incur loss or damage during an exhibition, the costs of repair or replacement will be charged to the exhibitor.
