Submitting certified documents for joint degree programmes

In the application phase, you have uploaded scanned colour copies of the application documents to the online application system. After the publication of admission results, if you have been admitted to one of the following programmes:
- European Mining Course (EMC)
- Innovative Sustainable Energy Engineering (ISEE) (Nordic Master)
- Maritime Engineering (Nordic Master)
- Nordic Master in Visual Studies and Art Education (NoVA),
you must submit certified (attested) copies of some of the application documents by a given deadline. The deadlines for submitting the documents may vary depending on the programme.
Admission is conditional until the certified copies of documents have been received by the university. Conditionally granted study right will be cancelled if the certified documents are not received in the required manner by the deadline. The certified documents will be compared to the electronic documents uploaded to the application system. The admission may also be conditional if your bachelor's degree / degree proving your language proficiency is still incomplete, or if you are required to pay tuition or programme fees and they have not yet been paid.
Certified documents required from admitted joint degree applicants:
- Certified copy of your Bachelor's degree certificate
If your degree is still incomplete after the publication of the results, the degree needs to be completed by 31 July and you will need to submit a certified copy of the degree certificate at a later stage. -
Official transcript of records for your Bachelor's degree, or a certified copy of it
If you are proving your English proficiency with a different degree than your Bachelor's degree you are additionally required to submit:
- Certified copy of the degree certificate that you are proving your English proficiency with, and an official transcript of records or a certified copy of it
If your degree is still incomplete after the publication of the results, the degree needs to be completed by 31 July and you will need to submit a certified copy of the degree certificate at a later stage.
If the degree certificate and transcript of records are not issued in Finnish, Swedish or English you are additionally required to submit:
- Official translations of the degree certificate(s) and transcript(s) of records or certified copies of the original translations
Translations are considered official when they are made by the higher education institution that awarded the degree, or by a certified /authorised translator. A certified or an authorised translator has a translating license, or other form of authorisation required by the country the translator is operating in, to translate in a specific language pair for official purposes. Kindly note that the translation by itself is not sufficient - it needs to be accompanied with the original document, from which the translation has been made.
For other application documents, the regular scanned copies that you have provided during the application period are sufficient.
We may be able to accept electronic documents if they have been submitted either through a recognised verification service or via email by the issuing institution (options 1-3).
We reserve the right not to accept any electronic documents if there is any doubt about the legitimacy of the service or the identity of the sender. We will not pay any fees that may be charged for verification.
If the options 1-3 are not possible, you can submit officially certified physical hard copies of your educational documents (option 4).
If your institution uses an electronic credential service or there is a national register of educational documents where you can share your official educational documents, share your educational documents directly from the service 色色啦 University (see programme-specific addresses below). The document must be sent directly from the service 色色啦 University, do not download the document first.

If your university only offers either an electronically verified degree certificate or transcript of records, the other document must be submitted by other approved methods.
If the documents are not in English, Finnish, or Swedish, official translations are required (see Instructions for translations).
Aalto University may accept electronic educational documents with a verification code that allows verification of the document and its contents using an electronic verification service used by the degree awarding institution, if:
- The verification service is on the degree awarding institution's public website OR,
in case of a third-party service, the institution provides a link to the service on their public website. - The entire document is verifiable using the service: the service must show the same content as the document you submitted.
Please note the following restrictions:
- A verification service that requires downloading software or paying for the verification is not accepted.
- A verification service that requires the recipient to send an email to the verification service or to the awarding institution is not accepted.
- We cannot guarantee that we will accept verification services in languages other than English, Finnish or Swedish.
- If the electronic document verified by the service is not available in English, Finnish or Swedish, you must submit an official translation of the original document as well.
- If the service verifies only parts of the document, we do not accept the document as officially certified.
We reserve the right to evaluate each electronic document and verification service case by case. If we cannot verify the required information, you must submit the document by other approved methods.
If your university does not use a verification service for sharing your educational documents, you can request your institution to email your educational documents in PDF format directly to the programme-specific delivery address listed below. Your institution can use our secure email service.

Please read carefully the following requirements:
- The email must be sent from an official email address of the institution.
- The sending email must be verifiable on the institution鈥檚 public website. If the website is not in English, Finnish or Swedish, or if the address is not listed on the website, we cannot verify the sender.
- The sending email must belong to a person or office that is responsible for issuing official educational documents, for example: registrar鈥檚 office, controller of examinations, awards and graduation department etc.
- The documents are in PDF format.
Documents sent by email that do not meet the above requirements are not accepted. If the sender's email address is not on the official public website of the institution, we will not accept the document.
Please give the above instructions to your university when requesting sending your documents.
Please note that submitting your documents through one of the recognised verification services or as certified physical copies is more reliable.
See below the instructions for certified hard copies. If none of the electronic options above are available to you, you must send your officially certified educational documents as physical hard copy documents to the Aalto School you have been accepted to.
Copies of educational documents (a degree certificate and a transcript of records, if the transcript is not original) must be certified by the awarding university or by a notary public.
The certified copies must be delivered as hard copies either by mail, courier service or delivered in person.
The copies must be taken from the original, official documents. A multiple-page certified copy must be certified on the front side of every page. Each page must have the certifying official鈥檚 original signature, printed name, ink stamp and date. Copies of officially certified copies are not accepted, the certifying official鈥檚 ink stamps and signatures must be original. A note declaring official copy status (such as a 鈥淭rue copy鈥 stamp) is insufficient.
An apostille stamp or certificate is not required.
Application documents will not be returned, do not send your original degree certificate.
Aalto University does not take copies of documents nor certify them.
The translation is official if it has been done by the higher education institution that awarded the degree or by a certified translator (authorised translator).
In Finland, the Finnish National Agency for Education (www.oph.fi/en) maintains a of authorised translators who are based in Finland. You can use the services of authorised translators of any other country as well.
The official translations that you submit must be
- accompanied by certified paper copies of the original documents which the translation has been made from. Translations by themselves are insufficient. They must always be delivered together with the document in the original language (from which the translation has been made into English/Finnish/Swedish).
- either the original translation documents, or certified paper copies of the original documents. Unofficial copies of the translations are insufficient. If you want to keep the original translation for other purposes, you can submit a certified copy. The application documents are not returned.
- certified with the translator鈥檚 original ink stamp and signature. When requesting for a translation, make sure to ask for these to be included.
A certified copy of the diploma supplement can be submitted instead of the official transcript of the records, if it includes the following information:
- course names of each course that you have completed as part of the degree
- grades you have received for the courses
- amount of study credits awarded (or workload completed) per course
- dates of completion for each course
Do not submit the original diploma supplement, but a certified copy of it.
In some countries, there can be a delay before the final degree certificate is issued to graduates. In such cases, a provisional (or temporary) degree certificate can be issued to a student who has successfully completed all the studies included in the degree and has graduated. The provisional degree certificate must include the following details to be accepted:
- name of the awarded degree (e.g. Bachelor of Science)
- name of the institution awarding the degree
- name of the student who the degree is awarded to
- date of the awarding of the degree
Note also:
- A statement of completion of the studies is insufficient.
- You can submit either the original provisional degree certificate, or a certified copy of it (if you wish to keep the original to yourself).
If you are proving your English proficiency with an incomplete degree, make sure to check that your final documents (either the degree certificate, diploma supplement or transcript of records) include the information that English has been language of instruction. If that information is not included, you need to request for a separate statement about the language of instruction from the institution that has granted the degree.
If your degree includes a lot of transferred credits, more than half of the studies must have been completed in English while physically located in the specific country that is mentioned on the list of exemptions for the language test. You can find the list on the application instructions page of the specific study option.
All documents must arrive at the given address at Aalto University by the given deadline. The programme-specific delivery address is mentioned under the programme's name below.
If you have applied to more than one programme, and are waitlisted in one and accepted in one, make sure to send two sets of certified copies of the documents (one to each programme) by the deadline. If you have been accepted to more than one programme, note that you can only accept one study place for studies that start in the same semester (e.g. autumn 2025). The acceptance of the study place is binding. This rule of one study place applies all bachelor's, master's and doctoral degree education in Finland.
Conditionally granted study right will be cancelled if the documents arrive late. Belated documents cannot be considered even if the delay took place irrespective of the applicant. Applicants are responsible for submitting the documents in the required manner and meeting the deadline. This also applies when the documents are sent via a third party, such as a postal service. The documents must arrive by the deadline; the postmark date is irrelevant. Aalto University is not responsible for services provided by post or courier services or any delays or damage caused by them.
We strongly recommend using a courier service (e.g. DHL, UPS, TNT, FedEx) for shipments from outside the European Union (EU) instead of regular mail. We recommend using a courier service also within the EU to be able to track your shipment.
If you send the documents by courier service, use the street address. Use the P.O.box address only if you send the documents by regular mail.
