1. Open Zoom or go to and sign in
2. Select or use your personal meeting ID
3. If you selected Schedule a meeting, add meeting details, and configure settings if needed
4. To invite participants, under the Calendar option, select either
   1. Outlook (which will create a meeting invitation in Outlook with the joining details for the Zoom meeting. In the browser, you can download the .ics file to open in Outlook.)
   2. Other calendars (which will give you the option to either open the .ics file in your calendar tool, or copy the meeting details to the clipboard.)
5. The meeting link works for anyone who has received it. Users without a license join anonymously.

• Be on time
• Test your setup (internet connection, sound, possibly video and other content sharing)
• Ensure quiet surroundings and sufficient acoustics
• Have an agenda
• Prepare facilitation and plan for meeting roles (chair - who drives the meeting, and scribe - who takes notes or meeting minutes)
• Content: what needs to be shared (slides, screen, whiteboard, Q&A, etc.)

While the meeting is in progress, you can use the security button on the menu bar to restrict participants' access to audio and image. 

Zoom - The Security icon in the meeting controls allows the host or co-host of a meeting to enable or disable options during a meeting to secure the meeting and minimize disruption during the meeting.

Lock Meeting: Locks the meeting, keeping new participants from joining the meeting.

Enable Waiting Room: Enables Waiting Room for incoming new participants or to move current participants into the Waiting Room.

Remove Participant: Allows the removal of a participant from a meeting. The participant can not re-join unless Allow removed participants to rejoin is enabled in Meeting Setting.

Suspend Participant Activities: Turn off all participant's video, audio, and ability to share their screen. Also lock the meeting to prevent new participants from joining.

Passcode: Meetings and webinars can require passcodes for an added layer of security. 

1. Click the link to join the meeting.
2. An option Join from your Browser may appear automatically. If it does not, select download & run Zoom.
3. The option Join from your Browser will appear.
4. If prompted, sign in to your Zoom account.

Zoom etiquette:

Two general rules:

1) Keep your audio on mute if not talking. That decreases the background noise.

• The Host can mute other participants´ microphones.
• When muted, you can press down the space bar to enable the microphone temporarily.

2) Use headphones. That helps with the problem of nasty feedback echoes.

Host and Co-Host Controls in a Meeting:

Security and restriction of participation:

While the meeting is in progress, you can use the security button on the menu bar to restrict participants' access to audio and image.
Co-hosts are not restricted by these settings.

The same menu also provides a setting for activating the waiting room and locking the meeting, so that new attendees are no longer allowed in.
